Acceptable Use Policy

1. Purpose

This Acceptable Use Policy sets out the rules governing your use of The Original Baker CRM system. By logging in, you agree to comply with this policy. This system is provided by The Original Baker Ltd as a business tool for authorised personnel only.

2. Authorised Use

This CRM system is provided for legitimate business purposes only. You may use the system to:

  • Manage customer accounts, contacts, and relationships assigned to you or your team
  • Record sales activities, opportunities, and visit reports
  • Access business data relevant to your role and responsibilities
  • Generate reports and analyse data in the course of your duties

3. Account Responsibilities

  • Your login credentials are personal to you and must not be shared with anyone
  • You must use a strong password and keep it confidential
  • You must log out or lock your session when leaving your device unattended
  • You must notify your manager or IT immediately if you suspect your account has been compromised
  • You are responsible for all actions taken under your account

4. Prohibited Activities

You must not:

  • Access or attempt to access data, accounts, or areas of the system beyond your authorised permissions
  • Share, export, or copy customer data for any purpose outside your job duties
  • Use the system to store personal or non-business-related information
  • Attempt to circumvent security controls, access restrictions, or audit logging
  • Share login credentials or allow another person to use your account
  • Introduce malicious software or attempt to compromise system integrity
  • Use automated tools, scripts, or bots to interact with the system without authorisation
  • Deliberately enter false, misleading, or inaccurate data

5. Data Protection

The CRM contains personal data about customers, contacts, and business partners. You have a responsibility to:

  • Handle all personal data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018
  • Only access personal data that you need for your role
  • Keep customer information accurate and up to date
  • Report any suspected data breaches to your manager and the data protection contact immediately
  • Not transfer personal data outside the system without appropriate authorisation

6. Monitoring

By using this system, you acknowledge that:

  • Your activity within the CRM is logged and may be monitored for security, compliance, and performance purposes
  • Logs include login times, pages accessed, data viewed, and changes made
  • Monitoring is carried out in accordance with our privacy notice and applicable laws

7. Consequences of Misuse

Violations of this policy may result in:

  • Temporary or permanent suspension of your CRM access
  • Disciplinary action in accordance with company procedures
  • Where appropriate, referral to law enforcement authorities
